Research
3 tasks is the limit at a time
According to desk research, studies have shown that humans have a working memory capacity that allows us to handle up to 3 tasks effectively. Exceeding this limit can lead to mistakes.
"Prioritizing tasks could be it, but never multitask"
Six interviews were conducted to understand the daily challenges of juggling tasks and the frustrations caused by errors.
100% of the participants rely on digital tools.
Participants were asked to share their solutions and evaluate the effectiveness of the tools they use.

It's important to prioritize tasks by complexity, so you don't end up overlooking the less critical ones.

Unable to predict the estimate completion for a task caused overruns and conflicts, on other upcoming tasks.

Studies show that people who try to juggle multiple tasks to get the most out of their day often have trouble prioritizing, which can lead to mistakes in their workflow.

Users should be able to sync their calendars in one place, to reduce cognitive load.
Get alerted when there are overlaps.
Identify what should take priority.
Monitor productivity insights.

Final Design
Sync calendars in one place to reduce cognitive load.
The design takes inspiration from competitors to use a familiar interface, making it easier to learn.
Feedback from the usability test
An icon for the type of calendar is needed for a quick glance.
In the first round of usability testing, users need to easily identify where the task is scheduled from, the icons are added into the final design.
What this design gain from usability test.
Distinguish between interactable VS uninteractable elements
Remove colors on uninteractable elements, keep users attention on colored elements and are interactable.
I added this design later during the design process. I thought this would be helpful to know the average hours that dedicated in each schedule. To better understand the use of time for individual.
I sized up the create button and distinguished the color from the secondary CTA.
